I read Getting Things Done (GTD) about four months ago. After experimenting with many permutations and combinations of Hipster PDAs and ring binders, I finally settled on the this system. It is FAR from perfect, or even optimal. But the plan is to experiment with this for a while, re-read the book and start from scratch. Kinda like the Beginner's Mind I suppose.

My primary GTD system revolves around Tomboy, that great note-taking application for Gnome. This is because I spend pretty much all of my waking hours in front of a computer (such is life!). Take a look at the screenshot below (click for bigger sizes).

GTD Implementation on Tomboy Screenshot

Each of the contexts like @home, @work etc are individual Tomboy notes. I keep the most needed notes on one dedicated workspace on my Linux desktop. There are a lot of other notes like @someday, and notes for other ad-hoc contexts or projects I am working on which I don't choose to keep displayed.

Everytime I remember something, it goes into the @INBOX note, and then, upon processing , into the other contexts. I have three special contexts other than the regulation contexts described in the book :

  • A @compwork context for actions that need to be done on the computer, but only at work,
  • A corresponding @comphome context for actions that need to be done on the computer at home
  • A @comp context for actions that can done anywhere, but need a computer :)

I normally process inbox items a few times a day. When I am at home I close the @work and @compwork, and open the @home and @comphome notes. The great thing about Tomboy is that it remembers the location of the note the last time it was opened. This avoids clutter on the desktop and the hassle of shifting note windows.

For those rare times I am not in front of my computer, I have the good old Hipster PDA. I use it to note down items that I remember when I am outside. Then, when I am near a computer, I feed all the items into the @INBOX note. Mine looks like this:

Now we are left with a reminder system for time bound items. For that, I have neat little application called Remind. I just invoke Remind from my .bashrc file, so that every time I launch the GNOME Terminal application (which happens to be several times a day!) I see all the reminders.

I could really use a fast and simple note taking app like Tomboy or Basket (basket.kde.org) for Windows.. 'cos that's what I use at work where I actually need to take notes.

I also use both Linux and Windows. Just found an app that I think is similar to Tomboy (and good enough for my needs): Mr. Notes. Get it at www.ryanware.com.

It doesn't "install" as a program - it's just an .exe file and a data file (and maybe a configuration file - not sure what the other thing is that's included). What I did: unzip the folder and moved it to my Program Files folder. Dragged the .exe to my quicklaunch bar to create a lightbulb quicklaunch icon. Clicked that, created my first note, and did a SaveAs, which I re-directed to my My Documents folder. Enjoy.

Nice, liked your approach. I just recently switched to Ubuntu from XP. I used to use emacs + PlannerMode to (try) to implement GTD. Tomboy is really nice, I will try it for GTD too. Thanks for such a nice post!

A similar application to Tomboy written in QT would be KNotes. I highly recommend it since it even integrates with Basket(actually its the other way round, Basket can import knotes).
